Pricing

How much does business automation cost? What drives the price

By the Codeventures team · 3 min read

Short answer

There's no honest one-size price: cost depends on how many workflows and systems are involved, whether AI is in the loop, how clean your data is, and whether you need custom software. At Codeventures every project is quoted individually after a free audit, either as a fixed-price project or hourly, depending on the work, so you know how it's priced before anything starts.

Why there's no standard price

Two projects that sound the same can be very different underneath. "Connect our forms to the CRM" might be one clean workflow, or twenty exceptions, three tools without good APIs and years of duplicate records. That's why we scope first and quote second.

What drives the cost

Number of workflows and branches. A straight-line automation is quick. One with many exceptions ("if the client is new, if the invoice is overdue, if the slot is taken") takes longer to build and test.

Number of systems involved. Each connection needs authentication, error handling and testing. Tools with good APIs are faster to connect than ones without.

AI in the loop. Adding a language model means prompt design, guardrails, human approval steps and testing on real examples, which is where quality is won or lost.

Data cleanup. Automating on top of messy data automates the mess. Duplicates, inconsistent fields and old tags often need fixing first.

Custom software. A full platform, like the studio management system we built for TheVibe at Impact with five portals and a reporting engine, is a different scale from connecting existing tools.

Fixed-price or hourly?

We use both, and choose with you based on the work:

Fixed-priceHourly
Best forClearly defined projects with a known scopeOngoing work, evolving requirements, fixes and improvements
You getOne agreed price for the agreed scopeFlexibility to change direction as you go
ChangesNew requests are quoted separatelyAdded to the time as needed

Either way, you get a written scope and know how the work is priced before anything starts.

Ongoing costs to budget for

The build is only part of the picture. Your system runs on tools you pay for directly:

  • Automation platform: Zapier, Make.com or n8n cloud plans, or a small server if n8n is self-hosted
  • CRM or messaging: GoHighLevel, HubSpot, WhatsApp Business messaging
  • AI usage: charged by the model provider based on how much text is processed
  • SMS and calls: carrier and platform fees per message or minute

We point these out in the audit so there are no surprises, and where a cheaper platform does the same job, we'll tell you.

How to know if it's worth it

A simple test: estimate the hours your team spends on the task each month, and the leads or revenue lost when it's done late or not at all. If the system pays for itself quickly, it's worth building. If not, we'll tell you to keep doing it by hand.

How our quotes work

  1. Free 30-minute audit to map what you do by hand today
  2. Written scope and quote: fixed-price or hourly, depending on the project
  3. Build in your live account, tested in phases
  4. Walkthrough and support after launch

Timelines depend on the scope too, and are agreed in writing with the quote.

Both. Clearly defined projects are usually fixed-price; ongoing or evolving work is often hourly. We agree which with you before any work starts.
